GAIN: $5,000 (Proceeds > NBV)

SALE WITH LOSS:

Net Book Value $5,000

If scrapped (no proceeds):
Accumulated Depreciation $35,000 Dr
Loss on Disposal $5,000 Dr
Asset - Vehicle $40,000 Cr

If sold for residual ($5,000):
Accumulated Depreciation $35,000 Dr
Cash $5,000 Dr
Asset - Vehicle $40,000 Cr
(No gain or loss)

Sale

Sale with Gain

ASSET SALE WITH GAIN
───────────────────────────────────────────────────────────

Scenario:
Asset: Forklift
Original Cost: $30,000
Accumulated Depr: $20,000
NBV: $10,000
Sale Price: $14,000

Journal Entry:
Cash $14,000 Dr
Accumulated Depreciation $20,000 Dr

Calculation:
Proceeds ($8,000) - NBV ($15,000) = Loss ($7,000)

Write-Off

Damaged/Destroyed Assets

ASSET WRITE-OFF (DAMAGE)
───────────────────────────────────────────────────────────

Scenario:
Asset: Manufacturing Equipment

Disposal Process

Step-by-Step

ASSET DISPOSAL WORKFLOW
═══════════════════════════════════════════════════════════════════

STEP 1: Run Final Depreciation
───────────────────────────────────
Ensure depreciation is current through disposal date
May need partial month depreciation

STEP 2: Determine Disposal Type
───────────────────────────────────
┌─────────────────────────────────────────┐
│ Is asset fully depreciated? │
│ YES → Retirement (if no proceeds) │
│ NO → Continue │
│ │
│ Are there proceeds? │
│ YES → Sale (calculate gain/loss) │
│ NO → Write-off (loss = NBV) │
└─────────────────────────────────────────┘

STEP 3: Process Disposal
───────────────────────────────────
1. Open asset record
2. Click "Dispose Asset"
3. Enter disposal details:
┌─────────────────────────────────────┐
│ Disposal Date: 02/15/2026 │
│ Disposal Type: Sale │
│ Proceeds: $14,000 │
│ Disposal Reason: Equipment upgrade │
└─────────────────────────────────────┘
4. Review journal entry preview
5. Submit

STEP 4: Post-Disposal
───────────────────────────────────
- Asset status changes to "Disposed"
- Journal entry created
- Asset removed from active reports

Disposal Record Fields

FieldRequiredDescription
Disposal DateEffective date of disposal
Disposal TypeSale, Retirement, Write-off
ProceedsAmount received (if sale)
Disposal ReasonDocumentation

Partial Disposal

Disposing Part of an Asset

When selling or scrapping a portion of an asset:

PARTIAL DISPOSAL
───────────────────────────────────────────────────────────

Scenario:
Asset: Office Building (with Land)
Total Cost: $1,000,000
Land Portion: $200,000 (20%)
Building Portion: $800,000 (80%)

Selling the Land Only:
Land NBV: $200,000 (non-depreciating)
Sale Price: $300,000

Journal Entry:
Cash $300,000 Dr
Asset - Land $200,000 Cr
Gain on Disposal $100,000 Cr

Process:
1. Split asset into components (if not already)
2. Dispose of specific component
3. Remaining asset continues depreciating

Trade-In

Asset Exchange

TRADE-IN DISPOSAL
───────────────────────────────────────────────────────────

Scenario:
Old Asset: Truck (NBV $10,000)
Trade-in Allowance: $12,000
New Asset Cost: $50,000
Cash Paid: $38,000

Treatment 1: Recognize Gain
Cash Equivalent Value = Trade-in + Cash Paid
New Asset Cost: $12,000 + $38,000 = $50,000
Gain: $12,000 - $10,000 = $2,000

Journal Entry:
Asset - New Truck $50,000 Dr
Accumulated Depr (old) $XX,XXX Dr
Asset - Old Truck $XX,XXX Cr
Cash $38,000 Cr
Gain on Disposal $2,000 Cr

Treatment 2: No Gain Recognition (like-kind)
New Asset recorded at cash paid + old NBV
New Asset: $38,000 + $10,000 = $48,000
No gain recognized

Disposing Multiple Assets

│ ☑ Printer-001 NBV: $200 │
│ ─────────────────────────────────────────── │
